1. ЁЯТ│ Payment & Booking Policies
- Full payment must be completed at least **15 days** before the trip begins.
- Pending or incomplete payments may lead to **automatic cancellation**.
- Once registration/booking is completed, it **cannot be cancelled, transferred, or exchanged**.
2. ЁЯПи Check-in & Accommodation
- Standard hotel check-in time is **11:00 AM**. Early check-in is subject to availability.
- The company reserves the right to **change the hotel or modify the tour program** due to unavoidable circumstances.
3. ЁЯЪМ Transportation
- Transportation will be provided **strictly as per the itinerary**.
- **AC will remain off** in hilly or high-altitude regions.
- In case of vehicle breakdown, travelers must wait for repair or alternate arrangements.
- If a **4├Ч4 vehicle is required** due to snow or road blockages, the **extra cost must be paid by the traveler**.
4. тЪая╕П Price & Itinerary Changes
- Prices may change **without prior notice** due to strikes, weather, traffic, fairs, festivals, or unavoidable situations.
- The company will attempt to provide alternatives but is **not liable for refunds or compensation**.
5. тЬЦя╕П Cancellation by Company
- The company may cancel a booking even after payment. Refunds (if applicable) will be issued as per policy (see section 6).
- The company may dismiss any guest from the trip for **misbehavior or misconduct**, with **no refund**.
6. ЁЯз╛ Refund Policy (Credit Note Only)
- **No refund** will be provided in Cash, UPI, or Cheque.
- Refunds will be provided **only in the form of a Credit Note**.
- The Credit Note is valid for **12 months (365 days)** from the date of issue.
- It can be used for **any trip or service** offered by the company within the validity period.
7. ЁЯОТ TravelerтАЩs Responsibility
- Travelers are responsible for any mishaps, theft, loss, injuries, or illegal activities.
- Travelers must take care of their belongings. The company is **not responsible for missing items**.
- **Drinking or smoking is strictly prohibited** inside the vehicle.
- Misbehavior during the trip allows the Trip Manager to **terminate participation without a refund**.
8. тП░ Departure Rules
- Departure time is **fixed and final**.
- Travelers must report on time and update their status with Trip Managers.
- **Missing the departure vehicle results in no refund.**
- Two reminder calls will be made before departure.
9. ЁЯУ▒ Virtual Travel Manager
- A Virtual Travel Manager will be appointed for coordination, updates, and assistance.
10. ЁЯУ╕ Photography & Media Consent
- Hostplanit Travel Company may capture photos and videos for promotional purposes.
- Participants who **do not consent** must inform the team at the beginning of the trip.
11. тЪЦя╕П Misconduct & Legal Compliance
- Any misconduct, illegal activity, indiscipline, or anti-social behavior will **not be tolerated**.
- The participant may be terminated from the tour immediately.
- Refund (if applicable) will be processed **only for the remaining trip days**, as per policy (section 6).
12. ЁЯОБ Offer & Discount Policy
- Any offers, discounts, gifts, or prizes will **not be issued in the form of Cash, UPI, or Cheque**.
- Such offer benefits will be given **only in the form of a Credit Note**.
- This Credit Note can be used for any trip or service of the company within **365 days** from the issue date.
- Terms of the Credit Note are final and binding.
